Job Description:

We are seeking a detail-oriented and highly organized Onboarding Specialist, Remote, one year contract based, to manage the end-to-end pre-employment process for newly hired candidates. This role ensures a seamless transition from offer acceptance to official start date by overseeing visa processing, travel coordination, compliance, and candidate communication.

Key Responsibilities

1. Pre-Employment & Documentation Management

  • Manage the full pre-employment onboarding process for hired candidates.
  • Collect, review, and verify all required documentation to initiate visa applications.
  • Ensure accuracy and completeness of employment, identification, and legal documents.
  • Maintain organized and compliant employee records.

2. Visa & Immigration Coordination

  • Coordinate with visa agencies and immigration partners across multiple countries.
  • Track visa application progress and ensure timely submission and approvals.
  • Ensure full compliance with immigration laws, employment regulations, and internal policies.
  • Proactively identify and resolve potential delays or documentation issues.

3. Travel & Relocation Support

  • Arrange flight bookings, hotel accommodations, and other travel logistics.
  • Coordinate relocation-related requirements where applicable.
  • Ensure all travel arrangements align with onboarding timelines and budgets.

4. Benefits & Insurance Enrollment

  • Facilitate medical insurance enrollment and related documentation.
  • Coordinate with internal HR and insurance providers to ensure timely activation of benefits.

5. Candidate Communication & Experience

  • Serve as the main point of contact for candidates throughout the onboarding process.
  • Provide clear guidance on documentation, visa status, travel details, and timelines.
  • Ensure a smooth, professional, and positive onboarding experience.
  • Maintain regular communication to prevent delays and enhance engagement.

Qualifications & Requirements

  • Bachelors degree in Human Resources, Business Administration, or related field.
  • 2+ years of experience in onboarding, HR operations, visa processing, or immigration coordination.
  • Strong understanding of visa and work permit processes across multiple regions (preferred).
  • Excellent organizational and documentation management skills.
  • English Fluency is a MUST.
